Evelyn McCollough Estate — Item Tracker

The Evelyn McCollough Estate Item Tracker (“the Tracker”) is a private, invitation-only web application at evysestate.jklabs.dev. It exists for a single purpose: to let the named beneficiaries of one family estate catalogue the estate’s belongings and take turns choosing among them.

The Tracker is operated privately by the estate’s administrator (“we”, “us”), reachable at jkjk43@gmail.com. It is not a commercial service, it has no customers, it sells nothing, and it is not open to the public. This policy explains what information the Tracker holds, why, and what we do and do not do with it.

No mobile information is sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are never shared with any third party. Information may be passed to the subcontractors that deliver the service on our behalf (for example, our SMS provider) solely so that a message can be sent to you.

1. Who this policy covers

The people whose information appears in the Tracker are the estate’s beneficiaries — a fixed group of five family members — plus the administrator who maintains it. Nobody else has an account, because the Tracker has no accounts: access is by knowledge of the private URL.

2. Information we hold

Estate item records
Photographs, descriptions, categories, estimated values, status, selection round assignment, and which beneficiaries have expressed interest in each item. These are records about property, not about people.
Beneficiary names
A fixed list of first names, used to label whose turn it is and who received which item.
Email address (optional, per person)
Used only to send that person the selection round notices described below.
Mobile telephone number (optional, per person)
Used only to send that person the text messages described in our SMS Terms & Conditions, and stored alongside an on/off flag. A number is only ever held for someone who has agreed to receive texts.
Consent record
When you subscribe to texts we record that you did: your name, the number, the exact wording you agreed to, the date and time, and — where you signed up through the web form — the IP address and browser user-agent of the submission. We keep this because the mobile carriers require us to be able to evidence consent, and for no other purpose. It is never used to track you, and it is not combined with anything else. The same record is kept when you opt out, so we can show when the texts stopped.
Operational logs
Our hosting and messaging providers record ordinary technical logs — timestamps, delivery results, error codes. We use these only to confirm a notice was delivered and to fix faults.

The Tracker has no login, no analytics or advertising tags, no third-party trackers, and no cookies. It stores two small preferences in your browser’s local storage — which beneficiary you have identified yourself as, and whether you have dismissed the help prompt — which never leave your device.

3. How we collect it

Item records and beneficiary names are entered in the app by the administrator or by beneficiaries themselves.

Mobile numbers are given to us by their owner at evysestate.jklabs.dev/sms-signup, where you type your own number and tick a consent box that is not ticked in advance. If you would rather not use the form, you can give the administrator permission directly — in person, by phone, or in writing — and they will enter it for you. Email addresses are entered by the administrator, again only with the permission of the person concerned.

We do not buy, rent, scrape, or import contact details from any other source, and we never add a number for someone who has not asked for it.

4. Why we use it

We do not use anyone’s information for marketing, advertising, profiling, or automated decision-making, and we never will. There is nothing to market.

5. Who we share it with

We do not sell or rent personal information, and we do not disclose it to anyone outside the family except to the service providers that operate the Tracker on our behalf:

Each of these receives only what it needs to perform its function, is bound by its own contractual and privacy obligations, and is not permitted to use the information for its own purposes. Beyond these providers, we would disclose information only if compelled by law.

6. Where it is kept, and for how long

Data is stored in the United States on Google Firebase infrastructure. Item records are kept for as long as the estate is being settled and the family wishes to retain the catalogue. A contact detail is kept only while that person wants to receive notices: remove the number or address, or reply STOP to a text, and it stops being used immediately and is deleted on request. Consent records are kept for as long as the carriers may ask us to evidence an opt-in, and are deleted with the rest of your information on request.

7. Security

The Tracker is served only over HTTPS. Contact details — names, email addresses, mobile numbers, and opt-in flags — are held in a restricted area of the database that the web app cannot read directly; only our server-side notification code can access them. That said, this is a small private family tool, not a hardened commercial platform, and the site is protected principally by keeping its address private. Please do not put anything in it that you would be unwilling to share with the family.

The Tracker is not directed to children and we do not knowingly collect information from anyone under 13. The beneficiaries are all adults.

If this policy changes we will update this page and revise the date at the top. Material changes affecting notifications will also be mentioned to the beneficiaries directly.
